The Cambridge Site Operations function supports R&D by providing vibrant, state-of-the-art offices and laboratories across our Cambridge and UK South sites, with a strong emphasis on sustainability, health and safety, efficient facilities management, and optimal scientific resources. As our campus continues to evolve and grow, we have identified a new role focused on Conference, Meeting, Events, Site Vibrancy, and Community services. This position exemplifies our commitment to supporting our R&D community while also strengthening external partnerships and enhancing opportunities for collaboration and connectivity within the wider community.
To succeed in this role, experience in large-scale conference and event management is essential, as is strong stakeholder management. We are seeking a candidate with a good understanding of governance frameworks that will help us develop and optimise relationships with both internal partners and strategic suppliers. What you'll do:
The Campus Meetings, Events and Vibrancy lead acts as the Site Operations business relationship leader for all vibrancy, meeting, and event-related activities across the Campus. Key responsibilities include contributing to financial planning, establishing supplier standards, and fostering innovation. This role ensures effective governance, engages in proactive planning, and implements risk mitigation strategies for events. This position also oversees our Community and Charity liaison initiatives on Campus. Additionally, it involves managing critical relationships with Site IT teams to deploy technological solutions aimed at elevating the customer experience.
Accountabilities:
Campus Oversight : Lead the on-site delivery and governance of Conferences and Events across the UK South region, ensuring adherence to quality standards and organizational objectives.

Supplier Relationship Management : Serve as the Site Operations lead for key internal and external suppliers involved in event design, AV solutions, IT support, and logistics

Vibrancy and Community Services:

Proactively oversee and evaluate the performance of all Campus Vibrancy Services, including Signature and Site Events, Volunteering, Community, and Charity Programmes delivered by Site Operations. Additionally, serve as the primary Community and Charity partner for the Campus.

Leading the 'AmAZing Journey' : Oversee, monitor, and continually improve the 'AmAZing Journey' to ensure a memorable and engaging experience for all participants.

Proactive Event Planning : Anticipate and plan for upcoming events by identifying potential issues and risks proactively and implementing strategies to mitigate impacts on the business and its reputation.

Stakeholder Management:

Builds and maintain strong and effective relationships with customers, colleagues, external stakeholders and Site Operations service providers at all levels

Governance and Standards : Ensure effective governance of all Conference and Events Supply Partners by establishing and clearly communicating performance standards, expectations, and objectives, engaging team members at all levels to foster accountability.

IT System Performance Assessment : Govern, monitor, and evaluate the performance of IT systems deployed to support the Customer Experience, ensuring alignment with organizational goals and stakeholder needs.

Financial Management Support : Contribute to financial planning, forecasting, and the management of IT lifecycle processes.

Service Improvement Initiatives : Collect and analyse customer feedback to identify service delivery gaps, implementing targeted initiatives to enhance overall performance and satisfaction.

Health and Safety Compliance : Ensure compliance with relevant health and safety regulations by conducting thorough risk assessments during conferences and events and coordinating with internal and external departments as necessary.

Innovation and Best Practices : Foster a culture of innovation by promoting the sharing of best practices and encouraging creative solutions to enhance event delivery and customer experience..

Essential for the role:
Requires an individual of graduate calibre or with an equivalent level of experience

In depth knowledge of the operational needs of pharmaceutical business

Good working knowledge of the facility management industry

Facilities Management qualification
