We're seeking an

Admin Assistant

to join the Falls Preventions Team based in Witney.
You will provide essential admin support to the Falls Team and across the Integrated Intensive Community Care Pathway. You will work both independently and as part of a team to ensure the smooth operation of our services. We welcome enquiries for this post where we can discuss expectations before you apply.

Main duties of the job

Assist the Falls team in delivering community care by accurately collating, recording, and inputting patient information into electronic patient record systems including processing new referrals.
Schedule clinics and home visits for clinicians, with an understanding of Oxfordshire's geography and travel times.
Order, check, maintain, and distribute equipment and supplies as needed.
Support the financial aspects of the service by processing invoices for payment.
Monitor and respond to team emails and telephone queries from the public and healthcare professionals.
Utilise Microsoft software such as Excel, Word, and Teams for data and activity monitoring, as well as standard administrative tasks like printing, photocopying, and minute-taking for meetings.
Proficiency in healthcare records systems such as EMIS is advantageous.
The ability to travel independently between sites within the Trust is essential for this role.

Detailed job description and main responsibilities

This position is 30 hours per week, which can be spread across 4 or 5 days, with mandatory working days on Thursdays and Fridays.
You will work alongside another dedicated falls administrator to manage the workload demand.
The service operates between 8 am and 5 pm with a potential to occasionally support other services at weekends when required.
The role can be based at any Oxford Health Community location in Oxfordshire, with the opportunity to work up to 50% of your hours from home once you are skilled and competent in the role.
Initial office-based work in Witney for the first 3 months is essential as part of induction, with ongoing weekly attendance at Windrush House in Witney on Thursdays.
Additional Information:
We will support the right candidate with additional training and the Level 3 Business Administrator apprenticeship.
Person specification

Qualifications

GCSE Maths and English at C grade or above (or equivalent qualification)
Higher level education e.g. A level or NVQ level 3 or above
Contractual

Demonstrates the ability to travel independently between various sites in Oxfordshire where public transport may not be available
Can physically able to carry a laptop and move equipment independently in the office on a weekly basis
Knowledge

Microsoft Office - Word, Excel, PowerPoint, Outlook, Teams
Minute taking experience
Willingness to successfully complete Level 3 Business Administrator apprenticeship within 2 years (or already holds equivalent qualification)
Training and Aptitude

Demonstrates general office administration skills and processes
Demonstrates ability to manage and prioritise own workload
Demonstrates good organisations skills
Demonstrates ability to produce accurate and good quality reports/ correspondence
Has used EMIS electronic health records systems or similar health records
Experience

Experience of working in a team

Previous experience working in the NHS
Previous experience in an administrator role or holds an administrator qualification at equivalent to NVQ 2 in
