Part-time Receptionist/Administrator | Sutton Coldfield | 20.25 hours per week – Monday and Thursday: 7.45am-1pm and Friday: 7.45am-5.30pm. Temp-perm.

Penns Personnel are looking to recruit an experienced Receptionist/Administrator to work within a busy GP surgery based in Sutton Coldfield. The position is for 20.25 hours per week Mon, Thurs and Fri.

As a key point of contact for over 3,500 patient interactions per week, their reception team plays a vital role in ensuring smooth and efficient operations. Responsibilities include managing appointments using the latest AI-driven Rapid Health system, handling patient inquiries and maintaining accurate medical records. All duties are performed in line with established Practice Policies to uphold high quality patient care.

Duties include:

  • Call Handler – answering calls from patients, and signpost patients in the use of the latest AI technology system (Rapid Health) for appointments, prescription requests and general enquires.

  • Booking in arrivals for doctors, nurses and other members of the Primary Health Care Team and monitoring the flow of patients into consulting and treatment rooms.

  • Registering new patients, explaining the function of the Practice and the procedures in case of illness, and giving details of services available.

  • Advising patients of relevant charges for private services, accepting payment and issuing receipts.

  • Registering visitors, contractors, and pharmaceutical representatives, then notifying their designated contacts.

  • Ensuring that details of any unresolved or urgent matters are conveyed to incoming staff at changeover times.

    Requirements for the Role

  • Excellent communicator both verbally and written demonstrated with people at all levels and in all circumstances

  • An understanding, acceptance and adherence to the need for strict confidentiality

  • Must have proficiency in Microsoft Office/Word and with communicating by email

  • Excellent customer service skills and a helpful and friendly attitude

    Desirable

    Use of clinical system software e.g. EMIS Web Previous NHS experience ideally within a GP setting.

    Hours

    Monday and Thursday: 7.45am-1pm and Friday: 7.45am - 5.30pm. Total hrs: 20.25.

    Hourly Rate: £12.21 per hour
