Job Description Personal Assistant, Vaccines andImmune Therapies Introduction to role: This is an excitingopportunity to take on a challenging and varied role within theV&I Commercial team. Your focus will be on providinghigh-quality professional administration support to the VP andtheir V&I Commercial Leadership Team, who jointly lead thecommercialization of the V&I pipeline. You will also be a keypoint of contact for the V&I unit as a whole in Cambridge,supporting the effective administration of cross-V&I activitiessuch as townhalls and engagement events. As the successful roleholder, you will be an individual with high standards, enthusiasm,and a passion for learning, together with excellent communicationskills, a proactive approach, and the confidence to actindependently. Attention to detail and having a high level of greatorganisational skills will be the key to success with this role.The role includes diary management, coordinating internal andexternal meetings, processing expenses, arranging virtual meetings,global conference calls/videoconferences, managing complex travelincluding visa arrangements, as well as organising and preparingmaterial for key meetings and communications. The diaryarrangements will require you to have strong influencing skillswith the ability to engage relevant people in developing solutions;your patience and flexibility will be advantageous in securing thischallenging but interesting role. Often working independently, youmust be able to respond to changes in customer and stakeholderdemands with the flexibility to adapt to changing situations.Accountabilities: Provide high-level administrative support to theSVP and their Late V&I Leadership Team, to include but notlimited to these key tasks: - Comprehensive diary management, toensure that efficiency and time management is maximised. Prioritiseand manage complex diary arrangements. - Organise internal andexternal meetings, room bookings, hospitality etc. Set up virtualmeetings (Microsoft Teams/Zoom). - Organise travel andaccommodation. - Prepare and track key documentation includingexpenses, purchase orders and resource tracking tools. - Maintaineffective information management processes including Sharepointmanagement, distribution lists, organization charts and otherrelevant documentation. - Support and deliver assigned projects asagreed with the VP and V&I Commercial Leadership Team. - Act asa point of contact and representative of the VP and V&ICommercial Leadership Team between the V&I functions and thewider company including in-market and area/region colleagues. - Actas a role model and collaborative team player alongside otherAdministrative colleagues in the V&I unit, contributing tocross-V&I priorities and activities and acting as a key pointof contact in the Cambridge V&I site. EssentialSkills/Experience: - Prior Personal Assistant experience at the VPlevel, with energy and passion for the role - Self-starter, able toprioritise own workload, work unsupervised and use own initiativeto solve problems - Able to perform effectively under pressure, anddemonstrate flexibility and adaptability to meet changing businessdemands - Focus on quality and attention to detail - Maintainsconfidentiality and deals discretely with sensitive information atall times - Proven track record of project coordination -Experience of organising complex meetings and complex diarymanagement - Experience of exercising judgement to make decisionswhen appropriate - Advanced verbal and written communication andinterpersonal skills across all levels of the organization -Proficiency in the Microsoft Office suite including advancedexpertise in Teams, Powerpoint and Word - Experience of working ina multinational company and with cross-geographic teams DesirableSkills/Experience: - Experience within the Pharmaceutical industryWhen we put unexpected teams in the same room, we unleash boldthinking with the power to inspire life-changing medicines.In-person working gives us the platform we need to connect, work atpace and challenge perceptions.
